Quotes and Bookings

To get a quote for your upcoming trip, please visit our website and click the ‘Contact Us’ tab at the top of the homepage. We also accept bookings by phone, email, text, or directly from clients.

It's important for clients to review and confirm all details. Any errors that lead to unnecessary journeys will be billed appropriately. Our quotes are competitive, reflecting the exceptional service provided by our drivers.

Payments

We accept payments via BACS transfer, cash, credit, and debit cards over the phone, as well as through card machines available in our vehicles.

A 20% deposit via bank transfer is recommended to secure the booking and establish the payment link for the remaining balance, although this is not mandatory. We remain flexible with payment arrangements to accommodate our clients' preferences.

Invoices will be issued, and payments are to be settled within 30 days, unless stated otherwise on the invoice. Company accounts and receipts are available upon request.

Waiting Time

Should the client require the driver to wait or make additional stops during the journey, or if the client is excessively late for the booking, a fee of £40 per hour will be applied. 

The first 30 minutes of any pick-up are complimentary. Waiting time may be charged at the same rate beginning one hour after the originally scheduled landing time. We understand that delays may be outside the client's control; therefore, this fee is not mandatory and will be applied at our discretion.

Cancellations

For cancellations or amendments of bookings with over 48 hours' notice, no charges will apply. However, we reserve the right to charge the full or partial fare for changes made with less than 48 hours' notice.

This policy is applied on a case-by-case basis, considering the situation and its impact on the driver's schedule. The final decision lies at the discretion of IDRIVE Midlands. While we strive to accommodate our clients and do not habitually retain payments unnecessarily, we must also protect our financial interests.

Traffic, Delays and Journey Times

Our drivers use live navigation mapping on their smartphones and their local knowledge to pre-plan and check current traffic and routes before every journey, ensuring the fastest and most convenient route is taken. 

However, IDRIVE Midlands cannot be held responsible for unpredictable congestion, road closures, incidents, or unforeseen issues that may cause delays. With our extensive knowledge of the road networks during busy times, we are happy to provide anticipated journey times, but the actual departure time is ultimately decided by the client. 

During peak periods, there may be an additional surcharge for out-of-hours bookings between 23:00 and 07:00, as well as on Bank Holidays. We appreciate your understanding.

Flight Tracking

Our drivers utilise the latest smartphone applications to monitor inbound flights, ensuring they arrive at the terminal on time. To facilitate effective flight tracking and allow our drivers sufficient time to travel from designated sit-off points near the terminals, we kindly request accurate flight details from our clients.

Lost Property

Clients are responsible for ensuring they have all their belongings when exiting our vehicles, as we cannot be held liable for any lost items. If an item is found and needs to be returned, any associated costs will need to be covered by the client.

Soilage and Damage

In the unlikely event of spills or food stains, the client will be responsible for the cleaning costs. While we prefer that clients only consume the provided mineral water during travel, we understand that having a refreshment may be necessary after long-haul flights. Any damage to our vehicles caused by carelessness or negligence will result in appropriate charges.

Our Fleet

Our primary vehicles include: Audi A6, BMW 3 Series and Mercedes C-Class. Occasionally, we may need to substitute these vehicles and drivers with another comparable vehicle. We have a reliable network of trusted partners throughout the UK, allowing us to provide a variety of high-end, executive, and standard cars, as well as alternative vehicle types as needed.

Licencing and Insurance

We are proudly licensed with Wychavon District Council and have comprehensive insurance for Hire and Reward, including a remarkable £5 million in public liability coverage. Our unique 'plate exempt' status, granted by Wychavon District Council, ensures that our vehicles maintain a sleek and discreet appearance without 'Taxi signage' or external licence plates. Additionally, our vehicles feature luxurious black tinted windows, offering you the ultimate in privacy. Rest assured, all relevant documents are readily available for your review, with copies conveniently carried in our vehicles.
